Executive Assistant to the President/CEO

Salary Range: $63,000-68,000

The Role:

The Executive Assistant to the President/CEO role is an exciting opportunity to have visibility into and provide support to a leading nonprofit in Massachusetts.  The successful candidate is someone with strong multi-tasking, communication, and interpersonal skills;  welcomes the opportunity to support work across all aspects of an organization – programs, fundraising, operations, communications, policy, community engagement, and welcomes the opportunity to directly interact with key partners, including the Board of Directors, donors, partners, the media, and staff. 

The Executive Assistant reports directly the President/CEO. The successful candidate will be committed to the mission and excited for the opportunity to leverage their organizational and interpersonal skills in support of Project Bread’s work, in a position that provides visibility into strategic and programmatic decision making.

Primary Responsibilities:

Executive & Administrative Support

  • Serve as the primary point of contact for the President/CEO, often responsible for acting on her behalf, with key stakeholders and partners, including the Board, staff, donors, and partners.
  • Manage the President/CEO’s calendar and all scheduling, including preparation of materials, which may include briefing materials for press interviews and meetings with community partners and donors.  
  • Communicate on behalf of the President/CEO, including drafting personal correspondence and remarks.
  • Proactively cultivate and steward relationships with key stakeholders and partners.
  • Manage record keeping and follow through for relationships of CEO.
  • Complete administrative tasks for the Executive department.

 

Board of Directors & Advisory Council Support

  • Serve as the administrative liaison to the Board of Directors and Advisory Council.
  • Schedule, plan, and execute all Board, Board Committee, and Advisory Council meetings in a timely manner. This includes preparation and dissemination of agendas, briefing materials, and minutes.
  • Maintain discretion and confidentiality in relationships with all Board and Advisory Council members.

 

Stakeholder in Project Bread Culture

  • Participate in the annual Walk for Hunger, including working as event staff the weekend of the Walk, attending pre-Walk events as assigned, and supporting the CEO’s role in Walk for Hunger fundraising efforts.
  • Prepare agendas and presentations for bi-monthly all staff meetings.
  • Promote a positive, productive, and inclusive working environment, working collaboratively and cross-functionally with the Project Bread team.

  • Personal commitment to solving hunger in Massachusetts.
  • 3+ years previous experience, preferrably as an Executive Assistant.
  • Excellent writing and communication skills.
  • Impeccable attention to detail.
  • Ability to adapt and respond to change effectively.
  • Agility to multi-task and strong prioritization skills.
  • Strong interpersonal skills, professionalism, and positivity, in a very public facing role, with comfort interacting and supporting individuals of a variety of backgrounds.
  • Ability to manage by influence and build strong internal and external relationships. 
  • Ability to work independently and proactively, synchronizing rapidly to anticipate President/CEO’s needs.
  • Ability to give and receive timely feedback.
  • Excellent PowerPoint skills to prepare for presentations.
  • Skilled in use of Outlook, Excel, Word, and Raiser’s Edge.  
  • Being multi-lingual is not a requirement for the role but is recognized as an asset.

All employees are currently working a hybrid remote and in-office model. The Executive Assistant will need to be present in the East Boston office on a regular basis to support the President/CEO.
